POSITION OVERVIEW
CAZA Collective is recruiting on behalf of an established luxury jewelry retailer seeking an Inventory Associate to join its inventory department in New York City.
The Inventory Associate serves as the traffic controller for new finished jewelry inventory, managing each product through the intake, processing, photography, description, and website publishing workflow. This person will help ensure that merchandise is accurately entered into the inventory system, fully documented, photographed, and prepared for both online publication and in-store display.
This is a highly administrative and detail-intensive position with a strong emphasis on data entry, product information, organization, and sustained accuracy. It is not a traditional stockroom or inventory-pulling role.
Reporting directly to the Inventory Manager, the Inventory Associate will work within a small, collaborative inventory department and will become largely independent once fully trained. The role is considered entry level within the organization, but candidates must bring relevant jewelry knowledge or prior jewelry industry experience.
The ideal candidate is highly organized, reliable, accountable, and comfortable completing repetitive work that requires consistent focus. This person should be eager to learn, willing to take initiative, and motivated to grow.
WHAT YOU WILL DO
- Receive finished jewelry merchandise and check each item into the inventory workflow.
- Enter complete and accurate product and pricing information into the company’s inventory and point-of-sale systems.
- Review and document jewelry details, including product type, ring size, gemstone variety, carat weight, metal type, color, finish, and other relevant specifications.
- Draft short-form product information and use approved templates and AI tools to create formatted website descriptions.
- Review AI-generated product descriptions for grammatical accuracy and confirm that each description correctly represents the jewelry piece.
- Take basic product photographs using the company’s photography equipment and use AI-based tools to support image editing and retouching.
- Coordinate alternate-view and on-model photography with the social media team.
- Match completed photography to the correct products and upload all final assets.
- Manage the workflow for new inventory to ensure product information, primary images, alternate images, and website content are complete.
- Set completed products to published status and activate them on the website.
- Enter size variations for rings once products have been published.
- Print, prepare, and trim merchandise tags so that jewelry is ready for display.

- Process incoming and outgoing memo merchandise and maintain accurate supporting documentation.
- Monitor short-term memo requests and coordinate timely merchandise returns or status updates.
- Support stock returns, vendor returns, repricing projects, trunk shows, and special events.
- Update internal project-management systems so other departments have visibility into inventory status and processing timelines.
- Assist the Inventory Manager, Design Director, and other team members with administrative duties and special projects.
- Support back-of-house retail operations, including daily jewelry setup when needed.
- Follow all inventory security and loss-prevention procedures when handling high-value merchandise.
WHAT WE ARE LOOKING FOR
- Prior jewelry industry experience or better-than-average jewelry knowledge is required.
- Familiarity with jewelry terminology and product details such as ring sizing, carat weights, gemstones, metals, finishes, and product categories.
- Exceptional attention to detail and the ability to maintain accuracy while completing repetitive and administrative work.
- Strong written and verbal communication skills.
- Ability to review product descriptions and confirm that the language accurately reflects the jewelry item.
- Strong data-entry, administrative, and organizational skills.
- Ability to learn inventory systems, point-of-sale platforms, website publishing workflows, and internal project-management tools.
- Comfortable using technology and learning AI-assisted tools for product descriptions and image editing.
- Advanced photography and copywriting experience are not required. The company will provide training on its photography and AI-based processes.
- Reliable, accountable, and consistent in meeting work schedules and deadlines.
- Takes responsibility for assigned work and follows projects through completion.
- Demonstrates initiative and a willingness to contribute beyond the minimum requirements of the role.
- Eager to learn, accept feedback, and grow within the inventory department.
- Able to take direction while also working independently once trained.
- Collaborative and willing to support other members of the inventory, marketing, design, and retail teams.
- Comfortable working within a small department where organization, communication, and teamwork are essential.
COMPENSATION
- Hourly compensation of up to $31.25 per hour, depending on experience, jewelry knowledge, and qualifications.
- This is a full-time, hourly position.

SCHEDULE
- Full-time, onsite position located in New York City.
- Monday through Friday, 9:30 a.m. to 6:00 p.m.
- Candidates must be available to work onsite five days per week.
- Remote and hybrid work arrangements are not available for this position.
